This policy explains how AFFIRM GROUP LIMITED ("we", "us", "the Company") collects, uses, stores and protects personal information when you visit this website or engage our consulting services. We handle personal data in line with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong and, where applicable, other data protection laws relevant to our clients.
1. Information we collect
- Information you give us. Your name, company name, email address, phone number and any details you include when you contact us, request a proposal or become a client.
- Engagement information. Business information shared with us during an engagement, such as advertising account access, campaign data, product and pricing information, and reporting.
- Billing information. Invoicing details such as billing name, address and transaction records. Card details are processed by our payment provider; we do not store full card numbers on our systems.
- Technical information. Standard server log data such as IP address, browser type, pages visited and referring page, collected when you use this website.
2. How we use information
- To respond to enquiries and prepare proposals.
- To deliver, manage and report on the consulting services you have engaged us for.
- To issue invoices, process payments and keep accounting records.
- To send service-related communications about your engagement.
- To improve our website and services.
- To meet legal, tax and regulatory obligations.
We do not sell, rent or trade personal information. We do not use client business data to train or build products for other clients without written permission.
3. Marketing communications
If you opt in, we may send occasional emails about our services or relevant industry updates. Every marketing email contains an unsubscribe link, and you can opt out at any time by emailing us. Opting out of marketing does not stop essential service messages relating to an active engagement.
4. Cookies and analytics
This website uses cookies necessary for the site to function and may use analytics cookies to understand how visitors use the site. You can block or delete cookies in your browser settings; some parts of the site may not work as intended if you do. Where analytics or advertising tools are used, they may set their own cookies subject to their own privacy policies.
5. Sharing information
We share personal information only with:
- Service providers who help us operate — for example hosting, email, accounting, and payment processing — and only to the extent needed to provide their service.
- Professional advisers such as accountants and lawyers, where required.
- Authorities or regulators where we are legally required to disclose information.
These providers are required to protect the information and use it only for the purposes we specify.
6. International transfers
We operate from Hong Kong and work with clients and providers in other jurisdictions. Where personal information is transferred outside Hong Kong, we take reasonable steps to ensure it remains protected to a comparable standard.
7. Data retention
We keep personal information only for as long as needed for the purpose it was collected, and for the period required by tax, accounting and legal obligations. Enquiry records that do not become engagements are deleted within 24 months. On written request, we will delete or return client working files at the end of an engagement, except where retention is legally required.
8. Security
We use reasonable technical and organisational measures to protect personal information, including access controls, encrypted connections and limiting access to staff who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your rights
You may ask us to:
- Confirm whether we hold personal data about you, and provide a copy.
- Correct information that is inaccurate or out of date.
- Delete information we no longer have a lawful reason to keep.
- Stop using your information for marketing.
Send requests to affirm.group1@gmail.com. We will respond within 30 days. We may ask you to verify your identity before acting on a request, and a reasonable fee may apply to data access requests as permitted by law.
10. Children
Our services are for businesses and are not directed at anyone under 18. We do not knowingly collect personal information from children.
11. Third-party links
This site may link to other websites. We are not responsible for their content or privacy practices, and we encourage you to read their policies.
